Sound familiar?
The problems every product business has
📋
You manage products in a spreadsheet
And copy them into invoices manually. Every time. Pricing changes require finding and updating 40 rows across multiple files.
📉
You discover stockouts after the order
A client pays. You ship. Then realise you're short. No system told you stock was low before it became a problem.
📦
Your packing slips are handwritten
Or generated in Word, separately from the invoice. The warehouse works off a different version than the client's copy.
💸
Volume discounts are applied inconsistently
Someone on the team charges the wrong price for a bulk order. Margin gets eroded without anyone noticing.
What you get
Everything a product business needs
Every Merchant feature is built around one idea: your invoicing and your inventory should talk to each other automatically.
Product catalogue
Every product in one place. Name, SKU, barcode, category, unit, description, and supplier reference. Searchable. Filterable. One slash-command away when creating an invoice.
Cost price & margin tracking
Record your purchase cost alongside your selling price. BillRyt calculates gross margin automatically — on the product card and in the CSV export. Know your real profitability per SKU.
Volume pricing tiers
Set tiered prices by quantity. When a client orders 50 units, the discounted price applies automatically — no team member needs to remember the price breaks or override manually.
Stock tracking & auto-deduction
Enable tracking per product. Stock deducts when an invoice is sent (goods billed without a packing list) or when a packing list is marked shipped (physical goods). Never double-deducted, never missed.
Low stock email alerts
Set a reorder threshold per product. When stock crosses it, BillRyt sends a digest email to the workspace owner — all low-stock products in one alert, not one email per SKU.
Stock movement ledger
Every stock change is logged permanently — sale, shipment, manual adjustment, return, or opening stock. Each entry traces back to the exact invoice or packing list that caused it.
Packing lists
Generate a packing list directly from any invoice or proforma. The warehouse sees what goes in the box. Stock deducts on shipment. The packing list references the source document.
Product sales analytics
Units sold, revenue, and top invoices per product — for the last 90 days. Know which products move and which sit. Make restocking decisions from data, not gut feel.
Live inventory valuation
See what your stock is worth at any moment — valued at cost and at retail — with the month-over-month trend. The number your accountant asks for, always current.
Cost price & gross margin
Every product carries its cost price, so BillRyt shows gross margin per SKU and a rolling 30-day gross-margin percentage across all sales. Price with your real margins in view.
Dead stock & bestsellers
The stock overview surfaces your top sellers over the last 30 days and flags dead stock — items with no sales in 60 days — so you reorder what moves and clear what doesn't.
Reorder points & on-order tracking
Set a reorder quantity per product and record what's already on order, so the low-stock view accounts for incoming stock and tells you exactly what — and how much — to buy.
Bulk stock import
Update stock counts for hundreds of SKUs at once from a CSV — after a stocktake or a new delivery — instead of editing products one at a time. Every change lands in the movement ledger.
Export everything
Product catalogue CSV (prices, cost, margin, tiers, stock levels), stock movement ledger CSV (every in/out with source reference), and invoice line items CSV — ready for your accountant or ERP.
Shipping internationally?
The Merchant plan also covers full export documentation — incoterms, HS codes, ports of loading/discharge, freight cost, and matching packing lists.
How it works
The full product business workflow
Build your product catalogue
Import from CSV (Shopify, WooCommerce, QuickBooks, or a plain spreadsheet) or add products manually. Set cost price, unit price, and volume tiers once.
Create an invoice or proforma
Type / to search your product catalogue from any line item. Price, unit, and tax fill in automatically. Volume pricing applies when the client's quantity hits a tier.
Client pays or confirms
Share the invoice — your client pays via Stripe or Paystack without creating an account. Or confirm the proforma to proceed with the order.
Generate a packing list
One click from the invoice or proforma creates a packing list. Warehouse picks and packs. Mark it shipped. Stock deducts automatically.
Track, alert, reorder
The stock movement ledger shows every change. Low stock alerts fire before you run out. Export the ledger for your accountant monthly.

Frequently asked
Does the Merchant plan include inventory management?
Yes. Product catalogue with SKU, barcode, category, cost price, and margin. Volume pricing tiers. Stock auto-deduction on sale and shipment. Low stock email alerts. Full stock movement ledger with traceability. CSV exports for catalogue, ledger, and line items.
What inventory reports and analytics do I get?
A live inventory valuation at cost and at retail with a month-over-month trend, gross margin per product and a rolling 30-day gross-margin percentage, a top-sellers list (last 30 days), and dead-stock detection (items with no sales in 60 days). Set reorder points, track on-order quantities, and bulk-import stock counts by CSV after a stocktake.
How does volume pricing work?
Set tiers per product — e.g. $10 for 1–9, $8.50 for 10–49, $7 for 50+. When a client orders 25 units, the $8.50 tier applies automatically in the invoice editor. No manual calculation, no human error.
Does stock deduct automatically?
Yes. For stock-tracked products: stock deducts when an invoice is sent (for goods billed without a packing list) or when a packing list is marked shipped (for physical goods). Both paths log a movement entry traceable to the source document.
Can I import my existing product list?
Yes. Upload a CSV from Shopify, WooCommerce, QuickBooks, Wave, Zoho, or any spreadsheet. BillRyt recognises common column aliases and upserts by SKU. Opening stock is logged as the first movement entry.
What's the difference between Agency and Merchant?
Agency is built for service businesses — recurring billing, client portal, team members. Merchant adds the full inventory layer: product catalogue, stock tracking, volume pricing, packing lists, low stock alerts, and all the associated exports. Both include recurring billing.
Can I pay with Paystack in local currency?
Yes. Connect your own Paystack account in Settings. African clients pay via card, bank transfer, or mobile money in NGN, KES, GHS, ZAR, and other supported currencies. Money goes directly to your Paystack account — BillRyt takes no cut of invoice payments.
